CAMPUS AND BUILDING RULES (TOEFL ITP TYPE AND WRITING)

The English exam for Graduate students will be held face-to-face (Stage 1 & 2) at the Foreign Languages ​​Department and online (Stage 3) on Zoom (anywhere on a device with Zoom) on 19 March 2021. The exams held at our university are carried out by adapting to new processes and taking the highest level of precautions. It is very important that the candidates obey the rules.

  • Before and after each face-to-face examination session, the cleaning of the buildings and classrooms is carried out in accordance with the principles of cleaning, disinfection and clean ventilation during the COVID-19 pandemic period.
  • It is compulsory to wear a mask from the moment you arrive on campus and throughout the exam. Make sure that the mask covers the mouth and nose.
  • There will be temperature measurement at the entrance of the campus, and also mask and water (0.5 liter plastic bottle) will be distributed at the entrance of the Foreign Languages ​​Department building.
  • Old masks will be thrown away and new masks will be given to all candidates at the entrance to the exam building.
  • There will be staff at the entrance and floors, candidates will be admitted to the building one by one and directed to the classes according to social distance rules.
  • Disinfectants and spare masks will be kept in classrooms.
  • Elevators will be closed for use.
  • In classrooms, the seating plan is arranged so that each candidate is 2 meters away from each other.
  • A maximum of 9 candidates will take the exam in classes of 23 at the same time.
  • During the exam, windows will be kept open in classrooms.
  • At the end of the exam, the classes will be cleared one by one. Exits will be made from 2 different stairs.
  • Candidates can come to the exam building with their mobile phones, but they will hand over their phones to the supervisor during the exam. Class lists will not be posted in the building as candidates will be able to find these lists on FLE (YDB) website.
  • Considering the admission process, arrive at the campus at least 30 minutes before the time of the exam.
  • Due to Covid-19 security measures, candidates need to provide HES codes. HES codes will only be seen by institution administrators. Submission of the HES code is mandatory for the exams to be held face-to-face*. A make-up exam will be arranged for candidates carrying risks.
  • Candidates are required to bring stationery materials such as pencil and eraser.
  • Candidates must bring an identity card, driver's license or passport.
  • It is strictly forbidden to enter the Foreign Languages ​​Department Building, except for the candidates who will take the exam (friends, relatives etc.)
  • At the end of the exam, candidates are kindly requested to leave the campus directly and not stay on campus.

 

*Candidates in the following list must obtain a HES code and send it to hakalan@etu.edu.tr before the exam or they will not be allowed in the exam grounds.

SPEAKING JURY RULES AND PROCEDURES on Zoom

Speaking Jury Rules

  • The jury will be conducted on Zoom.
  • It is highly crucial that the candidates write their full name while logging into Zoom before entering the meeting.
  • Make sure the device has enough battery to last for the entire process.
  • It is acceptable to connect to Zoom on a tablet, mobile phone or a computer for this part.
  • Candidates must be logged in and ready 5-10 minutes before the specified jury time.
  • During the jury, if the connection is lost, try logging back on immediately. Jury members will wait a minute or two. In case of any technical problem restricting you from logging in/back, write your problem here; you will be offered an interactive solution.
  • If there is an incoming call, the Zoom connection will be lost. To prevent this, block incoming calls temporarily.
  • You will be recorded during the jury. In case of an objection, the records could only be reviewed and evaluated by the judge committee.

 

Speaking Jury Procedures

  1. Open Zoom (remove any virtual background if there is any).
  2. Connect to the meeting room 5-10 minutes before the time allocated to you.
  3. You could be kept in a waiting room until the jury of the candidate before you is over.
  4. Turn on your camera and microphone.
  5. This section contains some parts, such as personal interview, picture description and discussion about a given subject. You are allowed to takes notes for the last part provided that you show the jury members that the paper is blank.
  6. You can exit by clicking Leave meeting at the end of your jury.
